You the client need to take a few things into consideration when deciding to hire an “employee” or a virtual assistant. 

 

The first being recruiting expenses, finding qualified people to function properly and professionally in your business is not an easy task.  You also need to consider employment taxes, benefits, space and equipment.  All of which can add up very quickly. 

 

Currently Social Security/FICA tax is at a rate of 6.2% up to the first $90,000 (www.ssa.gov ) e.g., $1,736 for a $28,000 salary plus Unemployment/FUTA @ 6.2% on $7,000 of salary (http://www.workforcesecurity.doleta.gov/unemploy/uitaxtopic.asp) so our total now is $31,472.00.  We now need to add Medicare @ 1.45% with no salary cap (www.ssa.gov) adding an additional $406 Workmen’s compensation premiums depend on the category of your employee but clerical is about 0.3% of the salary this coming to an additional $84.  Just in taxes we have brought a $28,000 salary up to $31,962.00. 

 

We now need to add in benefits.  Typical benefits would include life insurance, approximately $150 and health coverage $2,000-$3,000 for single persons; $6,000-$7,2000 for families – (http://www.ahrq.gov). Some additional benefits might include long-term disability insurance approximately $250, dental plans approximately $240-$650, dependent care assistance, tuition reimbursement, retirement plans etc.  Vacation and sick time are additional costs but are usually within the basic salary.  Working on the low end of these benefits we have taken a $28,000 salary up to $34,602.00.  We have not added in the cost to house the employee on site. 

 

These are just estimates based on very basic leasing fees.  How many square feet does an employee need? Here are again some very basic guidelines cubicles are typically 8' x 8' in size. You can typically figure on 225 to 250 square feet per employee when you add in common space. To furnish this space will cost approximately $2,000 minimum. 

 

We now need to figure in the costs for a computer and telephone at minimum.  An estimate would be $1,000 for a computer, $500 to several thousand for software dependent on your needs and approximately $250 - $300 per telephone if you add in installation, also any upgrades to your systems, e.g., voicemail, networks, etc.   

 

The total for this $28,000 salaried employee has now risen to a whopping, $38,352.00 based on the lower end of the above estimates.  This is an extremely large jump! 

 

The cost to utilize our service, based on $16/hour @ 40 hours per week, $33,280.00 a savings of $5,072.00, that’s a lot of revenue!  Add this up over a 10 year period, that’s $50,072.00!  Wow!
